Privacy Policy

This policy explains what personal data Coffee AI Ltd ("Coffee AI", "we", "us") collects, why, and the rights you have over it, when you use coffeeai.co (the "Site") or our products (Scribe, Brew and Extract). We are the controller of this data, except where we act as a processor for our business customers (see "Our products").

What we collect, and why

• Site analytics: cookieless, aggregate data (region, device, pages, referrer). No cookies, no cross-site tracking, and we do not identify you. Basis: our legitimate interests in running and improving the Site.
• Waitlist: your name, email, company and industry, so we can keep you updated. Basis: consent and legitimate interests. You can opt out at any time.
• Bookings and enquiries: your name, email and booking details when you contact us or book a call. Basis: taking steps at your request and our legitimate interests.

Our products

When a business uses our products, we process information such as voice, photos and job details to produce records, compliance paperwork and guidance. For this we act as a processor for that business (the controller), under our agreement with them. If your employer uses Coffee AI, please contact them first, or contact us and we will help direct your request.

Sharing, transfers and retention

We do not sell your personal data. We share it only with service providers who help us operate (including hosting and analytics, scheduling, and the cloud, AI and telephony providers behind our products), under contracts that require them to protect it, and we may disclose it where the law requires. Some providers are outside the UK; where data is transferred abroad we rely on appropriate safeguards, such as the UK International Data Transfer Agreement or the UK extension to the EU-US Data Privacy Framework. We keep personal data only for as long as needed for these purposes or to meet legal obligations, and we protect it with measures including encryption in transit and at rest and access controls.

Your rights

You can access, correct or delete your data, restrict or object to our processing, request portability, and withdraw consent where we rely on it. Email abin@coffeeai.co. You can also complain to the ICO (ico.org.uk). Our analytics are cookieless, so we show no cookie banner; third-party tools you use, such as our booking widget, may set their own cookies.

We may update this policy from time to time and will post the new version on this page with a revised date above.
